The client is a leading online platform provider for higher education in the United States. Working with top-tier academic partners, the organization offers a wide range of learning programs, spanning free public courses to accredited university degree programs. Their digital portal covers the entire student journey, including student registration, LMS access, live virtual classrooms, assignments, and grading.
As demand for remote learning grew, the platform had to support a surge in concurrent users across different states. Each state and partner university had unique compliance, registration, and curriculum requirements. This complexity made it difficult to manage the learning catalog without experiencing database sync issues and interface lag.
To scale their platform and maintain a reliable user experience, the client partnered with Intelegencia. The goal was to build a centralized course management repository, streamline registration processes, and automate testing across their web and mobile applications.
The Challenge

The client’s digital learning platform had to manage thousands of course types, credit structures, and enrollment guidelines. Because their registration databases were not fully centralized, student enrollment and course tracking required manual interventions, leading to occasional processing errors and delayed logins for new students during peak enrollment periods.
To sustain their expansion, the client needed a centralized course repository that could support varying state guidelines and partner integrations on both web and mobile devices. However, updating these core systems while running 24/7 online classes threatened to impact active students, requiring a partner who could manage QA, platform stability, and workflow automation.

Our technical assessment focused on the client's enrollment databases and QA practices. We found that their existing database structure kept registration data separate from course access records, requiring complex manual sync processes. Furthermore, we found that their QA validation was manual and inconsistent. Updates to web portals, iOS apps, and Android platforms were tested separately, which delayed deployment cycles and occasionally allowed visual and functional bugs to reach production. The client needed a centralized repository and automated workflows to support their growing student base.
