The Client

Overhauling supply chain logistics and inventory management for an industrial supplier.

The client is a global supplier of goods and services with over seventy years of operations, serving a diverse international customer base across manufacturing sectors, including Graphic Arts, Packaging, Plumbing, and Plastics. With a catalog comprising thousands of industrial products, they coordinate distribution networks that cross international borders. Their core business relies on delivering parts, raw materials, and custom tools to enterprise buyers on tight schedules.

In the competitive global supply chain market, operational efficiency is critical. Customers expect real-time visibility into stock availability, accurate shipping timelines, and seamless invoicing. However, the client's internal departments were operating on legacy, siloed applications that could not communicate with each other, slowing down order fulfillment and creating communication gaps between sales, logistics, and billing teams.

To modernize their operations and establish a single source of truth for transaction data, the client partnered with Intelegencia to connect their enterprise platforms and build intuitive customer management tools.

The Challenge

Resolving the administrative delays of disconnected inventory databases.

The client's main challenge was their legacy software systems, which were built on outdated technology. Because their sales data, logistics tracking, and warehouse inventories were managed in separate, disconnected platforms, simple processes required manual verification. For example, when a sales representative secured an order, warehouse staff had to manually check physical stock levels before confirming delivery.

This lack of integration created operational bottlenecks. Management could not track sales metrics, inventory turnover, or purchase histories in real time. This made it difficult for executive leadership to make fast decisions about ordering and distribution, resulting in stockouts and shipping delays.

Disconnected legacy systems created data silos across sales and logistics departments.

Manual verification of inventory levels slowed order fulfillment workflows.

Lack of real-time purchasing data hindered decision-making for leadership.

What our audit found

Identifying database synchronization lag and pipeline errors.

Our team conducted a technical and database audit of the client's ERP and sales systems. We found that the sales pipelines in their CRM were completely disconnected from their warehouse database, causing inventory records to lag by up to 24 hours. This lag resulted in sales representatives promising stock that had already been sold.

Additionally, data transfers between regional distribution offices relied on manual spreadsheet uploads, creating sync errors and billing discrepancies. The diagnostic showed that the client needed a custom, unified middleware layer to sync their ERP (SAP HANA) and CRM (HubSpot) systems and provide a consolidated management console.

1

Inventory database lag led to inaccurate product availability figures.

2

Manual spreadsheet data transfers between offices created synchronization errors.

3

Monolithic platform architecture lacked standard integration frameworks.

The Solution

How we turned it around.

ERP & CRM Integration

Connecting SAP HANA, HubSpot, and Core Business Systems

We designed and built a custom integration layer to connect the client's core business systems. Using secure REST APIs, we integrated the SAP HANA ERP with HubSpot CRM and Magento e-commerce databases.

This integration established a real-time data sync pipeline. When a transaction occurs on Magento or is updated in SAP, the data instantly updates in HubSpot, ensuring that sales, logistics, and inventory teams are always working with the same information.

What we shipped

  • Developed a custom integration wrapper to connect SAP HANA and HubSpot.
  • Created real-time synchronization pipelines for inventory and billing data.
  • Built automated alerts to flag transaction or database sync errors.
Multi-Department Admin Portal

Designing a Unified Multi-Functional Management Console

We designed and built a web application featuring a unified multi-functional management console. Built with modern frontend and backend technologies, this portal is easy to navigate for employees across all departments.

The console provides custom dashboards tailored to each unit's responsibilities. Sales teams can track client records and order statuses, logistics managers can coordinate shipments, and billing teams can generate invoices, all within a single system.

What we shipped

  • Built a unified administrative web console for all business departments.
  • Deployed role-based dashboards to simplify department-specific workflows.
  • Developed easy-to-use search and filtering tools for product catalog management.
Magento Revamp & CXO Analytics

Rebuilding E-commerce & Deploying Real-Time Dashboards

To support B2B clients, we optimized their Magento e-commerce portal and deployed dynamic dashboard modules. Hosted on Amazon Web Services (AWS), the platform provides high speed and reliability.

For executive leadership, we built real-time analytical dashboards. These tools pull sales, inventory, and purchase data from the SAP HANA integration, visualizing operational metrics to enable leadership to make fast, data-driven decisions.

What we shipped

  • Optimized Magento e-commerce performance on AWS cloud infrastructure.
  • Deployed real-time dashboards to track cross-channel sales and stock levels.
  • Built automated report generators to share weekly KPI summaries with leadership.

The Numbers

Outcomes we can talk about.

The integration project delivered immediate operational benefits. By replacing disconnected spreadsheets with real-time SAP HANA and HubSpot sync, the client lowered routine logistics and support costs. The unified console simplified system maintenance, reducing developer support needs and operational delays.

With transparent dashboards providing real-time data, executive leadership can make faster, smarter business decisions regarding purchasing and distribution. The global industrial supplier now operates a modern, unified, and scalable IT infrastructure that supports their international customer base.

What's Next

Implementing automated supply forecasting and vendor API portals.

With the core integrations completed, the next phase will focus on automated supply forecasting. We plan to integrate predictive analytics modules that analyze historical sales trends in SAP to forecast inventory needs.

Additionally, we plan to build dedicated API portals for vendor partners. This will allow suppliers to check inventory levels and update shipping schedules directly, further automating the supply chain workflow.

Frequently Asked Questions
About This Project

The questions teams usually ask when they want to run a similar engagement.

We built an asynchronous queue system using REST APIs. If SAP HANA or HubSpot goes offline, the integration caches data and retries sync once connection is restored, preventing data loss.
