The client is a leading US accounting and auditing service provider with over forty years of experience. They conduct annual audits and financial reviews for more than 150 corporate firms and organizations, managing highly sensitive financial records, tax disclosures, and compliance documents. Their business reputation is built on reliability, accuracy, and strong data security protocols.
To support their auditors and administrative staff, the firm relies on prompt sharing of regulatory updates, policy modifications, and HR procedures. In the highly regulated accounting sector, ensuring that employees are aware of changes to tax codes and audit guidelines is a compliance requirement.
However, the firm was operating without a centralized, secure internal system to distribute updates, which made it difficult to manage mass communications and coordinate their team. To solve this, they partnered with Intelegencia to build a secure web application for employee communications and operational tracking.

The client faced significant challenges in distributing company-wide policy updates and operational bulletins. With hundreds of employees working across regional offices and client sites, the firm relied on email lists to share updates. This method was insecure and made it difficult to verify if employees had read and understood new procedures.
Furthermore, sharing sensitive operational changes via standard channels carried a risk of internal data leakage. The firm also struggled to track staff feedback or display operational performance metrics. They lacked a dashboard to visualize organizational data in real time, making it hard to align teams on auditing targets.

Our diagnostic review analyzed the client's internal communication practices. We found that previous communications had no access controls, allowing employee updates to be accessed from unauthorized networks. This lack of security posed risks to client audit data.
Additionally, because the firm lacked a modern data visualization tool, managers could not track how employees interacted with updates. The diagnostic showed that the client needed a secure intranet portal with multi-factor authentication, IP restrictions, and real-time visualization dashboards to display organizational KPIs.

Developing a Secure Web Portal with Access Controls
We designed and built a secure, custom web application using WordPress as the core content management framework. Hosted securely on Amazon Web Services (AWS), the portal serves as the single location for all internal communications, policy updates, and operational guidelines.
To ensure data security, we implemented access controls. This included IP-based restrictions that allow access only from verified corporate networks, account-based authentication, and multi-factor authentication (MFA), ensuring only authorized staff can view sensitive updates.

The portal includes read-acknowledgment workflows, requiring employees to confirm they have read critical compliance updates. These acknowledgments are logged in a database, providing compliance officers with audits of employee policy updates.

These dashboard cards show real-time statistics regarding employee interactions, course completions, and policy acknowledgments. This analytics layer gives management operational visibility, allowing them to track engagement metrics across the organization.

With the intranet portal established, the next phase will focus on mobile access. We plan to build a secure mobile application using React Native, allowing auditors to access policies and submit timesheets from client locations.
Additionally, the firm plans to implement AI compliance checks. These algorithms will scan draft policy updates for regulatory compliance terminology before they are published, further streamlining the HR review process.
